Why documents matter

A BSN appointment is usually straightforward if you bring the right documents. But if something is missing, expired or not accepted, you may need to book another appointment and lose weeks.

The exact requirements depend on your municipality, nationality and whether you register through BRP/gemeente or RNI.

Basic documents most expats need

Common documents include:

Valid passport or EU identity card
Birth certificate if requested by the municipality
Proof of Dutch address for BRP registration
Rental contract, host declaration or employer housing document
Employment contract if relevant
Residence permit or MVV for non-EU citizens where applicable

Always check the specific gemeente or RNI desk before your appointment.

RNI vs gemeente documents

RouteTypical document focus
RNIIdentity document and temporary/non-resident details
BRP/gemeenteIdentity document plus Dutch residential address proof

RNI is often used when you do not yet have a permanent Dutch address. BRP registration is normally used when you will live in the Netherlands for more than 4 months.

Address proof examples

Depending on the municipality, address proof may include:

Rental contract
Purchase contract
Signed host declaration
Copy of host ID
Employer housing confirmation

If you live with someone else, the host declaration can be especially important.

Common appointment mistakes

Bringing photocopies instead of originals
Using an expired passport or ID card
Booking the wrong registration route
Forgetting address proof
Not checking whether documents need translation/legalization

Benefitly tip

Before booking, check whether you need RNI or BRP. Then prepare the exact documents for that route. This is one of the easiest ways to avoid delays.
